What Prosas is
Prosas is a cloud platform for facility and maintenance management. It runs in the web browser on a computer, tablet or phone, and every screen works in Arabic and English.
Software like this is usually called CAFM (computer-aided facility management) or CMMS (computerized maintenance management system). CAFM covers the building: locations, spaces, cleaning, visitors and security. CMMS covers the maintenance: requests, work orders, preventive plans and the equipment they keep running. Prosas does both, and adds the inventory, purchasing and invoicing that maintenance work depends on.
A general-purpose ERP is built around accounting. Prosas is built around the building, the machine and the work order, and its inventory, purchasing and invoicing modules serve that work: a work order can take spare parts out of stock and be turned into an invoice.
Each module is sold on its own, so you pay only for what you use. A few modules bring in what they depend on: maintenance includes the equipment register, and spare parts, purchasing and sales include inventory. The basics every company needs come with every plan.

How work moves through Prosas
Three workflows most teams start with, step by step.
A fault, from report to closed job
- Someone reports the fault through your public request link, or by scanning the QR code on the machine — no account needed.
- A supervisor reviews the request and rejects it, sends it back for more detail, or converts it into a work order.
- The work order gets a type, a priority, an SLA due date and a technician or team.
- The technician works through the checklist and records labour, spare parts and before-and-after photos. The parts used are taken out of stock.
- The order is completed, reviewed and closed. Its cost and downtime join the machine's history and the reliability reports.
Planned maintenance
- A maintenance plan names the machines, or a whole equipment category, the tasks and the interval: a fixed schedule or the machine's MTBF.
- Prosas creates each work order ahead of its due date, by the lead time set on the plan.
- The work appears on the maintenance calendar and in the team's queue. A single date can be skipped or moved without changing the plan.
- Whether each order is done on time feeds the preventive-maintenance compliance figure on the dashboards.
Spare parts and purchasing
- Each item has a minimum and a maximum level in each warehouse.
- When stock reaches the minimum, Prosas raises an in-app alert.
- A purchase order goes through approval. Confirming it creates a receipt, and validating the receipt adds the goods to stock.
- A vendor invoice can be created from the order, and every stock movement stays on record.
Maintenance
From the first report of a fault to the closed work order, and the planned work that prevents the next one.
Work requests
Staff, tenants and visitors report a fault through your public request link, or by scanning the QR code on a machine — no account needed. Each request is reviewed and then rejected, sent back for more detail, or converted into a work order, and the requester can check its status by reference number.
Work orders
Preventive, corrective, installation, inspection and emergency work, each with a priority, an SLA due date, a checklist, materials, labour, failure details, costs and before-and-after photos. Work orders move through clear statuses and can be viewed as a list, a kanban board or a calendar.
Preventive maintenance plans
Recurring plans for chosen machines or a whole equipment category, on a fixed schedule or triggered by MTBF. Prosas creates the work orders ahead of each due date, and a single date can be skipped or moved.
Maintenance calendar and teams
Planned maintenance and work orders on one calendar, and maintenance teams to hand the work to.
Inspection rounds
Recurring inspection and audit visits built from a checklist template. Each visit is checked in by GPS, recorded as passed, failed or partial, and can be linked to work orders.
Reliability metrics
MTTR, MTBF, preventive-maintenance compliance and downtime, calculated from your work orders and each machine's operating hours.
Equipment and assets
The register of what you maintain, what it is worth, who supplies it and what its drawings say.
Equipment register
Every machine with its location, specifications, warranty, usage log, incidents and full maintenance history. A printable QR code on each one opens its record, or a public page where anyone can report a fault.
Asset register and depreciation
A finance register for equipment, vehicles, furniture, IT, buildings, land and intangible assets, with custodians, transfers and disposal. Depreciation schedules — straight-line, declining balance or units of production — are posted to journal entries.
Vendors, contracts and warranties
Contractors and suppliers with their work orders and a performance view; maintenance, supply and service contracts; and equipment warranties. You are alerted 30 days before a contract or warranty expires.
Drawings and documents
PDF, DWG and image drawings sorted by discipline, with revision history, linked to a location, a machine or a spare part.
Inventory, purchasing and finance
The stock, orders and invoices that maintenance work depends on.
Inventory
Stock for each warehouse with minimum and maximum levels, a record of every movement, and an in-app alert when an item reaches its minimum.
Receipts, deliveries and transfers
Goods coming in, going out and moving between warehouses, each recorded as its own document.
Spare parts
A spare-parts catalogue linked to stock that records which part is installed on which machine and when it is due for replacement. Parts used on a work order are taken out of stock.
Purchasing
Purchase orders that go through an approval step, from draft to received, with a vendor invoice created from the order.
Sales
Quotations and sales orders for your customers, with a printable quotation.
Invoicing and payments
Customer and vendor invoices with VAT, payments with approval, and maintenance-cost reports by asset, department and category. A work order can be turned into an invoice.
